About the role

Joblogic is scaling fast and events are becoming a serious growth channel for the business. We're looking for an Events Coordinator to take ownership of the operational and logistical delivery of our events programme, working closely with and reporting to the Senior Events Manager.

You'll deliver a busy schedule across trade shows, smaller in person events and webinars. The Senior Events Manager owns the strategy, budget and commercial results. Your job is to make sure every event runs smoothly on the ground. Venues booked, suppliers briefed, materials shipped, registration handled, and the day itself delivered without a hitch.

This is a great role for someone hands on and highly organised who enjoys the detail of making an event actually happen.

What your main focus will be

  • Take ownership of the logistics and on the ground delivery for every event on the calendar
  • Coordinate venues, suppliers, AV, stand builders, printers, caterers and contractors, keeping them to brief and deadline
  • Build and maintain event timelines, run sheets, checklists and supplier schedules, flagging risks or delays to the Senior Events Manager early
  • Own the events calendar as a living document the wider business can see
  • Handle day to day supplier coordination, raise purchase orders and check invoices against what was agreed
  • Track spend against the budget the Senior Events Manager sets, flagging anything heading off course
  • Manage contract admin, chase signatures and check cancellation terms before we commit
  • Collect risk assessments, method statements and public liability certificates from suppliers
  • Complete venue risk assessments and make sure insurance and compliance paperwork is in place before every event
  • Manage post event admin including supplier returns, invoice checks, debriefs and thank you communications
  • Keep trackers and documentation accurate, feeding clean data into the reporting the Senior Events Manager compiles
  • Coordinate stand build, run setup, troubleshoot on the day and manage pack down
  • Organise internal staffing: rotas, kit lists and briefing the sales and SDR teams before doors open
  • Support lead capture and note taking on site, then hand it over promptly for follow up
  • Set up webinar platforms, run dry runs with speakers and support live delivery

  • Every event runs smoothly on the day, with logistics handled well ahead of time
  • Venues, suppliers, AV and materials are booked, briefed and confirmed with no last minute scrambles
  • Registration and attendee communications are clear, professional and on time
  • Compliance paperwork is complete before every event, not chased afterwards
  • Risks and delays are flagged early, giving the Senior Events Manager time to act
  • Event data and lead handovers are accurate and delivered promptly
  • The Senior Events Manager can trust the operational detail is covered

Nice-to-have points

  • Experience coordinating or delivering the logistics for B2B events, trade shows or conferences
  • Highly organised, with a methodical approach to timelines, checklists and supplier coordination
  • Confident managing suppliers, venues and contractors day to day
  • Comfortable working in HubSpot, Slack and Monday, or able to pick these up quickly
  • Experience with registration platforms and CRM data for attendees and leads
  • High attention to detail and calm under pressure during on site delivery
  • Happy supporting someone else's strategy and making it run brilliantly
  • Experience using HubSpot for event registration, attendee data and lead handover
  • Familiarity with Lemlist or similar outbound tools
  • Webinar platform experience
  • Full UK driving licence
